Gone are the days where facilities managers are able to oversee multiple, estate-wide operations from a single spreadsheet – the way has since been paved for software providers to offer a breadth of digital options that help shoulder some of the responsibility. However, getting the right solution in place isn’t always simple – especially given the FM world is overrun with acronyms that claim to describe the different software available.</p> <p>From Computer Aided Facilities Management (CAFM) and Computerised Maintenance Management System (CMMS) to Integrated Workplace Management System (IWMS), it’s little wonder that choosing the right technology has become far more complicated than it needs to be.</p> <p>So what are the supposed differences between them – and do facilities managers really need to choose? Let’s take a closer look…</p> <p><strong>Debunking the myths: Computerised Maintenance Management System (CMMS)</strong></p> <p>The clue is in the title – CMMS software keeps track of maintenance specifically, including how often equipment undergoes repairs, its history and associated costs, as well as providing visibility on labour resources. By using the data from CMMS software, teams are able to allocate resources effectively and make strategic maintenance decisions.</p> <p>CMMS is also crucial for companies responsible for major building systems like lifts, refrigerators, air conditioning systems and boilers, helping to ensure these critical assets are properly maintained, are safe and remain compliant.</p> <p><strong>Driving operations forward: Computer Aided Facilities Management (CAFM)</strong></p> <p>CAFM software was born following a call for more effective management of maintenance and engineering. Broadly speaking, its core offering is focused on space management and planning, move management, work order requests and typically additional modules for assets and maintenance.</p> <p>CAFM systems tend to support facilities managers in three key ways: maximising space; tracking assets and people; and consolidating building data from an array of sources. Our space planning functionality and integration with Autodesk was well received as well as our BIM &amp; Cobie integration.</p> <p>Alongside visitors looking to move supplier, we saw an increased number of people who were looking to implement a CAFM solution for the first time. Over 40 current customers came together to network, learn and collaborate on the future direction of CAFM Explorer.</p> <p>The highlight for users at both events was the release of CAFM Explorer 9.2.1 which provides updates to checklist functionality for statutory inspections, web-based room booking functionality and enhancements to helpdesk functionality and usability. All three of these core updates have been customer led and generated through discussions at our User Group events.</p> <p>In Salford we were joined by Chris Lloyd, Head of Safety and Operational Risks at Historic England, who provided insights on Health &amp; Safety. Organised by University of Salford's OneCPD department the event was a great opportunity to showcase our work with the university <a data-udi="umb://media/f3293b57c0af4d41af11125716ce7f8e" href="/media/1329/cafm-case-study-university-of-salford.pdf" title="CAFM Case Study - University of Salford.pdf">(see our case study here)</a>  and meet with existing clients and new contacts within council and university facilities departments.</p> <p>Here we look at some of the key issues in facilities management highlighted during the event:</p> <p>Facilities management can be summarised as creating the optimal environment for an organisation's primary functions, taking an integrated view of the business infrastructure, and using this to deliver customer satisfaction and best value through support for and enhancement of the organisation.</p> <p>Efficiency savings are a key element to facilities management. However, this approach to cutting costs is unlikely to produce the required savings and may harm the organisation's ability to deliver the most appropriate services. For facilities management to offer maximum support to core activities, the organisation must recognise that cost and quality are inextricably linked and should not be considered separately.</p> <p>Factors such as environmental taxation and increasing utilities costs have placed energy management and carbon reduction as an area of real focus for facilities managers.</p> <p>Technology is increasingly at the forefront of facilities management, this is a sector which the British Institute for Facilities Management estimates is worth between £40bn and £95bn per annum. Therefore, integrating technology in this sector is highly beneficial for those working in facilities. Handheld mobile technology has also revolutionised the work of the maintenance manager, saving time and improving efficiency and access to information.</p> <p>While buildings designed recently still build in the entire infrastructure required to manage large fixed cable computer networks, the arrival of high capacity wireless networks, combined with the explosion in the use of mobile devices is rapidly reshaping the technical requirements of many organisations - this includes cloud computing technology, which is being adopted rapidly.</p> <p>Cloud computing is now becoming prevalent for both businesses and consumers, particularly collaborative working and document management. This allows organisations to benefit from reduced costs, increased productivity and speed to market.</p> <p>Facilities Management software companies are encouraging their customers to embrace this technology, because the cloud is changing the software delivery model to the benefit of the end user. IT facilities managers can now reduce the amount of physical data centre resources that are directly in use.</p> <p>Implementing such innovations in technology in the public sector could pay large dividends, as could more focus on strategy. The Royal Institute of Chartered Surveyors (RICS) estimates local government could make £1bn per annum in efficiency savings. RICS suggests that a reluctance to invest in, and embed a dedicated facilities management programme within an organisation - an approach it calls 'Strategic FM' (SFM) means that many public sector organisations could be missing out on huge cost saving opportunities. Salisbury Group, a Facilities Management organisation, estimates that those in the public sector using facilities management in a strategic capacity could be saving themselves as much as £120,000 each per annum on average.</p> <p>Good facilities management structures have the potential to make organisations significant amounts of savings.</p>
CAFM Explorer supports Historic England Historic England uses CAFM Explorer to reduce maintenance issues and preserve over 12 million historical objects. 16/04/2016 CAFM Explorer supports Historic England <p>The registered charity Historic England cares for over 400 historic buildings, monuments and sites across the country. There are 270 employees based at its London headquarters in a building designed by Alfred Waterhouse who was also responsible for the design of the Natural History Museum. A further 500 employees are based at a secondary office and storage facility in Swindon.</p> <p>The Swindon facility is housed in a Grade Two listed building, previously the drawing offices of Isambard Kingdom Brunel. It is home to a unique archive building attached to the main office, housing 12 million historical objects. The store rooms inside are tightly temperature-controlled and accessed via an airlock. If the air conditioning in the archive breaks down, there is the risk of losing a huge collection of objects and artefacts. The Hippodrome forms winning partnership with CAFM Explorer Helpdesk & Planned Maintenance tasks across the four-storey casino and theatre venue. 20/11/2015 The Hippodrome forms winning partnership with CAFM Explorer <p>The Hippodrome, on the corner of Charing Cross Road and Leicester Square, first opened on 15 January 1900, with a circus and variety show that included live polar bears, elephants and an illuminated pool containing 100,000 gallons of water that could shoot fountains of water to the roof.</p> <p><span>The initial focus for CAFM Explorer, Idox's leading integrated facilities management solution, will be Helpdesk &amp; Planned Maintenance tasks across the four-storey casino and theatre venue. NEC scoops BIFM Sustainability Award Congratulations to the NEC, the events and exhibition centre and part of NEC Group, on winning this year's Impact on Sustainability award at the BIFM Awards 2015. 04/11/2015 NEC scoops BIFM Sustainability Award <p>Congratulations to the NEC, the events and exhibition centre and part of NEC Group, on winning this year's Impact on Sustainability award at the BIFM Awards 2015.</p> <p>Focussing on zero waste to landfill, the organisation managed to save 1,303 tonnes of carbon in 2014 alone, as well as saving more than £700,000 in landfill tax. The NEC manages to meet its targets by closely monitoring activity on site with KPI audits and regular compliance checks.</p> <p>Led by the facilities team, the whole organisation, including suppliers, event organisers, staff and local communities are part of what is calls a 'culture of change.'</p> <p>The NEC use CAFM Explorer's facilities management software to manage assets, PPM, helpdesk requests, contractor management and multi-level reporting at the Exhibitions Centre, Genting Arena, ICC and Barclaycard Arena.</p>

He went on to say that the future prosperity of many Thames Valley businesses rested upon the Heathrow expansion and that emerging international markets were all far away.</p> <p>Holland-Kaye commented: 'You can only get to those growing markets by air and via a national hub airport such as Heathrow. Equally, inward investors need good UK connectivity.'</p> <p>Connectivity formed the basis of Lord Adonis' keynote speech, commenting: 'Connections are so important in the infrastructure world,' and went on to highlight the need to ensure improved future Thames Valley connectivity through the proposed Western Rail Access to Heathrow (WRaTH), and linkage to the north-south High Speed 2 line from the planned London junction at Old Oak Common.</p> <p>Lord Adonis further added: 'Great things have happened. Infrastructure affecting Reading and the Thames Valley is improving, but there's no place for complacency. There's still a lot more to do.'</p> <p>Other topics covered during the day included demand for workforce housing, and the need for the Thames Valley to be perceived as a 'ool, smart' place to live, with cutting-edge technology required to support this trend.</p>

The event explored how a modern, fit-for-purpose estate can provide value for money for the taxpayer while increasing sustainability and enabling improvements in the way an organisation works. CAFM Explorer and EPAM provided delegates with practical insights from customer case studies and discussed current software and future innovations for managing property and estates to provide more efficient and cost effective workplaces. </span></p> <p>The day started with a keynote speech from Stephen Talboys, Director of Facilities and Estates at the University of Salford, discussing the three main drivers for creating fit for purpose learning, living and working environments. These three requirements are for estates to be:</p> <ul> <li>Effective: services developed collaboratively and continuously improved and developed to better meet needs of student, staff and partners. Ongoing customer feedback proves the success of these services.</li> <li>Economic: facilities and IT drive change and look at new ways of working by prioritising investment in the right blend of space and technology, leading to cashable savings and additional, related benefits.</li> <li>Efficient: achieved by meeting statutory/corporate KPIs for information, health and safety, sustainability and utilisation whilst enabling academic quality, growth and diversity. Success can be seen by benchmarking with Gartner and HESA reports and by following the Estate Plan. Over 3,000 legal professionals are employed in 59 offices worldwide, working in sector-based teams offering real-world advice to clients operating in a challenging business climate and a fast-changing regulatory environment.</p> <p>CMS began using CAFM Explorer in 2009, their initial requirements being Planned Maintenance (PPM) scheduling and Help Desk functionality. In clinical settings, industry, mining and emergency services, Drager products protect, support and save lives.</p> <p>Idox's CAFM Explorer was originally installed in 2010 to manage personnel including engineers and technicians across six buildings, creating a central helpdesk for work orders to be logged. In 2014, Drager upgraded to CAFM Explorer 9 and implemented CAFM Engineer to increase the efficiency of the workforce and speed up response times. This year, Drager went live with CAFM Web to enable end user call logging, further improving their help desk process and efficiency.</p> <p>With CAFM Engineer, the Facilities team at Drager can now issue work orders to engineers' mobile devices together with all associated notes, order details and history. Designed by Ralph Knott, construction of the original building was started in 1911 and opened in 1922 by George V..
